A huge part of that is helping creators bring their ideas and communities into the real world, and events are one of the most powerful ways to do it. Creators and events go together like peanut butter and jelly: knowledge creators bring smart, curious people together online every day, and great IRL events take that connection even deeper.
As an Events Associate at Smooth, you'll be the person making our events actually happen. You'll report to our COO and work closely with our Events Producer, supporting them on budget and vendor execution while owning the day to day details that bring each event to life, from run of show docs to being on the floor during load in. This role is for someone who is fast, detail obsessed, and has strong opinions about how a room should look and feel.
What you'll do
Production Management
- Support our Events Producer in building and tracking the budget, the production schedule, and the run of show, and help keep every event on time, on quality, and on budget
- Help source vendors and support contract conversations, from production partners to venues to caterers, and serve as their day to day contact so every deliverable lands the way we promised it would
- Handle logistics across every phase of the event, including the physical stuff: signage, print, swag, shipping, storage, and making sure boxes are where they need to be when they need to be there
- Be onsite for load in, the show, and load out, and solve problems in real time without needing to be asked
Cross Functional Support
- Help our Brand Partnerships team deliver on sponsor commitments, including activation logistics and photo or recap assets
- Support creators and their teams on event marketing and comms, plus event day prep: briefing docs, onsite rehearsal, and anything they need to show up ready
Operational Reporting & Wrap Up
- Keep production documentation and event updates clean and current, so anyone on the team can pick up where you left off
- Help run post-event wrap up: support budget reconciliation, handle invoices and vendor payments, get photo and video delivered, and put together a recap with notes on what to carry into the next event
What we're looking for
- 2–4 years in events, experiential, production, hospitality, or a related field
- Experience working events onsite, not just planning them from a desk
- You're organized to an unusual degree — trackers, checklists, and timelines are how your brain already works, and nothing falls through the cracks on your watch
- You move fast and follow up — you chase the vendor who hasn't responded, you confirm the thing twice, you send the recap without being asked
- You're good with people — you'll be emailing vendors, texting creators, and briefing a crew on the same day, and you can shift tone and keep everyone aligned
- You stay calm when things break — something always breaks: the van is late, the AV guy no-showed, the venue moved us; you solve it and keep it moving
- Must be NYC-based (in office Mon-Thurs) and available for evenings and occasional weekends around event dates
What we can offer
- Salary: $85,000-$90,000
